Background
Navira is an Amazon and e-commerce marketplace consultancy, helping brands grow and optimise their online sales channels. As part of their operations, HubSpot is used to manage client relationships and track ongoing communications. When an employee was due to leave the business, Navira needed to ensure that all historic email conversations were retained and migrated to HubSpot. Maintaining this continuity was critical to avoid losing context across client relationships.
Before starting the migration, Navira identified a key risk: it was unsure whether all relevant contacts already existed in HubSpot. Since emails can only sync to existing contact records, this created the potential for incomplete or disconnected data.
The HubSpot migration challenge
The objective was straightforward: migrate two years of email history from a departing employee into HubSpot. The complexity came from ensuring that every email would be correctly matched to a contact.
Without a verified contact base, there was a real risk that emails would either fail to sync or be left unassigned, reducing the overall value of the migration. Navira needed a way to surface all contacts from their email data and validate them before any sync took place.
Implementing the Threads™ solution
Navira used Threads to take a staged and controlled approach. The first step was to ingest two years of historic email data into Threads. This was completed within 24 hours, giving the team immediate access to a complete archive of communications.
From this dataset, Threads generated a CSV file of all contacts identified. This gave Navira full visibility over who had been communicated with, based on real inbox data rather than assumptions.
With this information, the team was able to review their HubSpot account, confirm which contacts already existed, and create any that were missing. This preparation ensured that the CRM was in the right state before any emails were synced.
Once this step was complete, the Threads–HubSpot sync was enabled. Threads then automatically matched emails to the correct contacts and inserted them into the appropriate timelines, removing the need for manual mapping.
Results and outcome
As a result:
- All historic emails were successfully captured and organised
- Every email was linked to the correct HubSpot contact
- No data was lost due to missing or unmatched records
- Client relationship continuity was preserved despite employee turnover
What could have been a fragmented HubSpot migration became a controlled and reliable process. Navira now has a complete and accurate communication history in HubSpot, giving their team the context they need to manage client relationships effectively.
